The University of Akron Modernizes the Student and Staff Experience with Workday
The University of Akron struggled to support the needs of modern
students and employees with lengthy manual processes and limited
reporting capabilities.
Before implementing Workday, the University of Akron HR department
reported challenges with the entire candidate process, stating the
application process too cumbersome, the hiring process too long, and the
onboarding process too manual. When it came to supporting employee
needs, it took three weeks to process leave requests, while managers
struggled with the lack of mobile capabilities to provide typical personnel
actions. For the finance team, challenges included averaging six weeks to
process reimbursements, a lengthy month-end close process, and paper
payroll processes. monthly close process, and paper payroll processes.
Budgets were not streamlined and there was an overall lack of visibility into
financial processes and reporting. Both HR and finance teams shared the
headache of taking more than two weeks each to prepare for board
meetings.
For students, there was limited access for self-service opportunities and
lack of access for parents other than through student sign-on. There were a
multitude of paper forms and processes; for example, processing a student
name took two days. Teams also had to manage manual processes when
assigning student to advisors. The university had limited visibility into
enrollment and no formal communication plan for students and parents
when it came to student account issues.

The University of Akron sought modernization and selected the
entire Workday platform, including Workday Student. They
chose Workday to provide a single system that provides a
seamless experience for students, staff, and faculty. Akron
chose Avaap as its implementation partner due to Avaap’s deep
change management expertise and experience in other Ohio
higher education institutions.
Akron opted to move through their implementation quickly,
completing the full platform and Student deployment in just
two-and-a-half years, compared to the average three years.
This overlapping implementation also happened during the
deployment of a new recruiting system for the university. The
University of Akron went live with the full Workday Platform in June
2023, followed by the Workday Student go-live in April 2024. The
university was laser focused on making this technology change a
success and employed change management best practices to align
and support all stakeholders through the process.
With Workday, all aspects of business processes have
improved at the University of Akron. In the HR department,
64% of positions have been filled in less than 30 days using
Workday, while onboarding happens entirely within
Workday and is completed in two days. Approval of leave
requests used to take three weeks but now average less
than a day. Before Workday, the average expense cycle was
close to six weeks, but now takes just five days. Reporting
is standardized and available to users within Workday
without the need of a data request process. For both HR and
Finance, it takes less than an hour to prepare for board
meetings when it used to take multiple weeks. In addition,
Workday has made mobile accessibility possible for
students and staff.
Students and their parents now have self-service capability,
which has freed up staff to provide more personalized
attention to students. Workday has also allowed Akron to
provide proactive notifications to warn students and
parents before their account is past due. Overall, The
University of Akron has improved both the student and staff
experience with Workday, giving students more
transparency than ever and freeing up time for staff to focus
on students.
