The Challenge

Prior to teaming with Avaap, UChicago Medicine has very little integration between its medical center and physician group and was using multiple system vendors for EHR at varying levels of maturity. This contributed to complex billing processes and complicated payer contracts.

UChicago Medicine also had limited documentation-based charging triggers, creating frustration and leaving the organization open to human error through manual documentation across the board.

Single-Source EHR

UChicago Medicine partnered with Avaap to move all EHR systems to Epic and improve revenue cycle processes.

Avaap determined the scope, resourcing, budget, funding, and support plans of the project to align with UChicago’s goal of a single-source EHR. Avaap also worked with UChicago Medicine to measure the financial impact of implementation and developed a comprehensive business case to measure ROI.

EHR Implementation and Consolidation

Avaap’s revenue cycle experts partnered with leading Midwest academic center UChicago Medicine to define and plan a holistic revenue cycle transformation program, which included implementation of Epic’s resolute suite of products.

To eliminate confusion of multiple EHR systems, Avaap aligned UChicago Medicine stakeholders and leadership behind a single vision of Epic’s EHR operating model. Avaap EHR also created a third-party vendor consolidation strategy for improved integration.

Rapid Implementation

Avaap fully defended and budgeted a 22-month transformation program with executive approval and stakeholder buy-in. This allowed UChicago Medicine a complete TCO which included licensing fees, third-party support, internal FTE requirements and technical structure. Avaap worked with UChicago Medicine to identify key performance indicators (KPI) as well as how to define success.

Improved Operations

The integration project, through centralization and consolidation, allows for improved processes and operations for UChicago Medicine. Avaap also provided UChicago Medicine with improved claims processing workflows and load balancing of edit volume. For improved revenue capture, Avaap and UChicago Medicine created an automated charging plan to eliminate human error risks.
