CLIENT Overview
University of Arkanas of Medical Sciences (UAMS) is a comprehensive academic health center, with colleges of Medicine, Nursing, Pharmacy, Health Professions and Public Health; graduate school; hospital; northwest Arkansas regional campus; statewide network of regional centers; and seven institutes. It is the only adult Level 1 trauma center in the state.
The Challenge
In an evolving healthcare environment, it is important technology and reporting run as expected. Avaap’s healthcare EHR team worked to assess the reporting organizational structure and resources of the University of Arkansas of Medical Sciences. This included reviewing and assessing the reporting and analytics governance model and running Reporting Insight, a custom utility, and reviewing the results. With tight deadlines to implement Epic, Avaap, and UAMS worked closely to make quick, effective decisions.

Avaap’s Reporting Health Check focuses on optimizing complex reporting environments, including tools and configuration, that provide accurate and real-time insights for client organization’s clinical and financial stakeholders.
Best Practice Approach
Avaap’s EHR team worked with the University of Arkansas of Medical Sciences to establish a reporting governance group that would have responsibility for establishing organizational standards related to report request approvals and prioritization. This move, along with enhanced training for the report development staff, allows Avaap and UAMS to implement a more effective reporting team structure.
Meaningful Change
Through the report check, Avaap EHR discovered a wide array of processes, system workflows, and an inability to effectively analyze system data. This included uncovering 310 inactive users on UAMS’s servers. They also unearthed workbench and clarity reports that never run, and 39 reports with unacceptable run failure rates.
Improved Reporting
Along with improving UAMS’s reporting team structure, Avaap EHR developed a robust report request workflow and tracking tool. They also worked with UAMS to establish and maintain an accurate and searchable catalog of available reports.
